Privacy Policy

English Mutam provides personal English lessons, learning activities, progress tracking, lesson scheduling, and optional reminders, calendar synchronization, and automated learning tools. This policy explains the information used to provide those services.

Information we handle

• Account and profile details, such as name, email address, role, and sign-in identifiers.
• Learning information, including assignments, answers, writing drafts and revisions, recordings, transcripts, progress, submissions, teacher and automated feedback, speaking preferences, and learner-confirmed practice context.
• Lesson information, including teacher-student relationships, booking credits, scheduled lesson times, changes, and cancellations.
• Notification settings and the device subscription data needed to send reminders when a user enables them.
• Support messages and technical records used to protect, troubleshoot, and operate the service.

Optional Google Calendar connection

A student or teacher may choose to connect a Google account. English Mutam requests the account's Google identifier and email address and permission to see, create, change, and delete events on Google calendars the user owns. This permission is used only to create and maintain private English Mutam lesson events in the connected account's primary calendar. When the teacher connects Google Calendar, English Mutam may ask Google to create one unique Google Meet conference on the teacher-owned event for each lesson. The join link is available only to the teacher and student assigned to that lesson, and the app does not add Calendar attendees. The app does not list, read, use, or change unrelated calendar events.

English Mutam stores the Google account identifier and email address, primary-calendar details, encrypted refresh credential, identifiers and synchronization status for English Mutam-created events, locally generated conference request identifiers, Google conference identifiers and join links, and limited technical error records. The refresh credential is encrypted at rest, Google data is protected in transit, and access is restricted to the service processes and personnel that need it to operate or support calendar synchronization.

Google user data is not sold, used for advertising, sent to AI providers, or used to train AI models. A lesson's Google Meet join link is shared only with its assigned teacher and student so they can attend the lesson. Other disclosures are limited to Google to perform the requested calendar operations, infrastructure providers acting on English Mutam's instructions, disclosures the user directs, or disclosures required for security or by law. English Mutam's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements.

The connection information and credential are retained while Calendar synchronization remains connected. Meet request, conference, and join-link records are retained only as needed to provide, reschedule, synchronize, and clean up the related lesson. They are removed from English Mutam when no longer needed, including when a future lesson is cancelled or the organizing Calendar connection is disconnected. When a user disconnects, English Mutam first removes future English Mutam lesson events, then revokes and erases the stored Google credential and connection records. Past events remain in the user's calendar. Lesson booking, rescheduling, and cancellation remain controlled by English Mutam, not by edits made in Google Calendar.

OpenAI-supported learning features

Some speaking and writing activities use OpenAI API services to provide transcription, generated dialogue or speech, live conversation, and automated feedback. Depending on the activity, English Mutam may send microphone or uploaded audio, a transcript, a writing draft, learner-confirmed speaking context, the lesson prompt, vocabulary, grammar targets, a rubric, and recent conversation context. English Mutam does not send Google Calendar user data to OpenAI.

For feedback-only beginner recordings, English Mutam does not retain the source audio or transcript after processing, but it keeps the resulting feedback and limited attempt and usage records. For live conversation, English Mutam does not retain raw audio or a full transcript; it may keep compact session details, feedback summaries, and short evidence excerpts. Guided rehearsal may retain a transcript and feedback, writing practice may retain original and revised drafts and feedback, and personalized practice may retain learner-confirmed context, generated dialogue text, and generated audio as part of the learning record.

English Mutam uses this content only to provide and safeguard the requested learning feature, not for advertising or to train a general-purpose English Mutam model. English Mutam configures OpenAI Responses requests not to store application state. Under OpenAI's API data controls, API data is not used to train OpenAI models unless the API account opts in. OpenAI may still retain limited API content for up to 30 days in abuse-monitoring logs unless stricter account controls apply.

Microsoft Azure pronunciation coaching

Optional pronunciation coaching uses Microsoft Azure Speech. When a user starts the coach, the reference text and microphone audio are sent to Microsoft Azure to produce a pronunciation assessment. English Mutam does not store that feature's source audio, transcript, or full assessment result. It keeps limited completion and word-level coaching records, such as words flagged for another try, together with encrypted short-lived service-token and technical request records needed to operate the feature. This feature is optional, and the learner can use the listen-back self-check instead. Google Calendar user data is not sent to Microsoft Azure.

How information is used

Information is used to operate the app, deliver lessons and learning activities, personalize practice with learner-confirmed details, show progress, provide teacher and automated feedback, manage schedules, send enabled reminders, synchronize optional calendar events, respond to support requests, prevent abuse, and maintain service reliability.

Service providers and disclosure

English Mutam uses service providers, including Netlify for hosting, authentication, functions, and data storage; Google for optional Calendar synchronization; OpenAI for the learning features described above; and Microsoft Azure for optional pronunciation coaching. Notification and other infrastructure providers process information only as needed to provide their functions and under their applicable terms. Personal information is not sold or shared for targeted advertising. It may be disclosed when directed by the user, required by law, or reasonably necessary to protect users and the service.

Retention and security

Account, lesson, progress, submission, AI feedback, transcript, writing, speaking-context, and generated-practice records are generally retained while an account is active and as reasonably needed for teaching records, security, legal obligations, and service recovery. Accepted final lesson and grammar-unit recordings are stored for up to 90 days; submission and technical metadata may remain after the audio file expires. Feature-specific limits described above apply to feedback-only audio, live conversations, Azure pronunciation coaching, and Google Calendar connections. Provider-side retention is governed by the provider terms and controls described above.

English Mutam uses access controls, encryption for sensitive stored credentials, transport encryption, data minimization, and operational safeguards appropriate to the service. No online service can guarantee absolute security.

Cookies and storage on the device

The app uses essential authentication cookies to keep users signed in. If a user chooses to remember the device, authentication cookies and a device preference may remain for up to 30 days. Browser storage is also used for learning progress, drafts, audio preferences, pending synchronization, and short-lived session state. English Mutam does not use advertising cookies or third-party advertising trackers.

Your choices

Calendar connection and Azure pronunciation coaching are optional. Calendar can be disconnected and lesson reminders can be turned on or off in the app. Microphone access can be denied in browser or device settings, although voice activities will then require an available non-voice alternative. Users may request access, correction, or deletion of personal information, including related authentication-provider records, subject to applicable recordkeeping and legal requirements.
